terms & conditions
By placing an order you agree to the following terms and conditions.
In respect of these terms and conditions the following definitions apply:
“we”, “us”, “our” and “Valentina Hire Company” refers to Valentina Hire Company
“you”, “your”, “customer” and “hirer” refers to the person named on the booking
Hire rates are based on 48hours commencing from delivery of the hire items and ending 48hours after. Please contact us if you would like to hire for longer.
Items shall at all times remain the property of Valentina Hire Company.
Upon signing, items are the responsibility of the customer and throughout the hire period until they are signed back to us. Hire items are not intended to be left outside.
BOOKING & BOOKING DEPOSIT
Quotes are valid for 30days.
To secure a booking we require a non-refundable deposit of 20% of the total hire cost. Items will only be secured once the deposit payment has been received and accepted.
DEPOSITS & PAYMENT
The following deposits and payments are applicable to all orders:
To secure your booking – 20% non-refundable deposit of order total.
No later than 28 days prior to the hire period – remaining 80% of order total.
Breakages deposit cheque for £100.00 – payable on delivery of hire items.
Payment in full must be received to receive the hire items. We reserve the right not to supply if payment is not made in accordance with these terms & conditions.
Failure to pay the balance in full before the hire period and not cancelling will result in you not receiving the items and still being liable for the remaining amount.
All cancellations must be made in writing. In all cases the 20% non-refundable deposit will not be refunded. Any refund due to you will be paid within 14 days on receipt of written notice of cancellation.
If you need to cancel the following refunds will apply based on the number of days notice given.
More than 28 days before the hire period – 80% of hire total
28 to 7 days before the hire period – 50% of hire total
Less than 7 days before the hire period – Nil
Any booking amendments must be made in writing and agreed to prior to the hire period. In all cases the 20% non-refundable deposit will not be refunded.
If additional items are required these are subject to availability. We reserve the right to refuse any amendments to a booking.
If an amendment is made resulting in a refund to you, the following refunds are applicable.
More than 28 days before the hire period – 80% of refund amount
28 to 7 days before the hire period – 50% of refund amount
Less than 7 days before the hire period – Nil
Any amendment resulting in an additional cost must be paid in line with our payment terms.
Any refund due to the customer will be paid within 14 days once agreement of amendment has been made in writing.
CANCELLATION BY US
We reserve the right to amend or cancel bookings in the event of dangerous and extreme weather conditions or force majeure resulting in us being unable to deliver/collect the hire items. Where an order is cancelled by us a full refund will be made. We will not be liable for any compensation, fees, costs or losses as a result of our cancellation, rearrangement of delivery/collection or refusal or amendments to any booking.
REFUSAL & SUB HIRE
Sub-hiring of our items is not allowed under any circumstances, the hirer must be the person using the items.
We reserve the right to refuse hire to any person and/or company we feel will misuse our items, our items are inappropriate for use by or deemed not to meet our company ethos.
DELIVERY & COLLECTION
There is a minimum order amount of £50 to qualify for delivery and collection.
Some items are not available for collection by the customer due to their size.
Collection in person is available for smaller items. Please note we reserve the right to refuse hire of items if we consider the vehicle inappropriate for the transport of hire items.
Where the order total is under £50 an additional charge will be added in order to qualify for delivery and collection.
The following delivery and collection charges are applicable and based on best route provided by google maps:
Orders of £100 or more:
Location within 4 miles of Bristol centre – FREE DELIVERY & COLLECTION
Location more than 4 miles from Bristol centre - £0.50 per mile calculated to and from location for delivery and collection.
The hirer must ensure there is safe and legal access and parking for delivery and collection. The hirer will be liable for any costs incurred where adequate parking and access is unavailable, or delivery/collection cannot be made.
Where possible an estimate time for delivery/collection will be given, this is only an estimate and is subject to change.
CHECKING & SIGNING
All items must be checked and signed for on delivery/collection from us. We must be informed if the hirer will be unavailable to sign off the delivery/collection of the hire items and an authorised person arranged to sign on their behalf. If no-one is available to check and sign for the hire items we will not make the delivery and you will still be liable for the full hire total.
The hirer is responsible for all hire items during the hire period until it ceases once the items have been returned to/collected by us and are checked and signed back to us. Please allow reasonable time for items to be checked on both occasions.
Any damage, breakages, missing items or parts will be detailed on the delivery/collection note and signed off by both parties.
On occasion inspection of hire items for missing or damaged items will be done after the hire period and once collected by us. On these occasions this will be agreed and noted on the collection note and signed by both parties and the hirer will still be liable for those breakages, damages or losses. This is usually the case when collecting large quantities of tableware etc.
CONDITION OF GOODS
Because of the age of some of our items they may not meet current EC regulations but are all items are inspected before and after hire as well as periodically for faults, damage, condition etc and are kept in a good safe condition. Risk assessments are carried out for all hire items.
Many of our items are vintage and of a condition reflecting their age, they are strictly for use as advertised, some items as props only. When checking and signing for the hire items on delivery you (or authorised person appointed by you) accept the condition of the items. Any discrepancies should be noted on the delivery note and signed by both parties.
Much of our tableware and vases etc are vintage and unsuitable for microwaves, ovens or dishwashers etc. Please rinse all tableware before packing. We will wash all glass and china items free of charge and launder bunting, tablecloths, napkins etc.
Any stains that cannot be removed will result in an appropriate charge to the customer.
DAMAGES, BREAKAGES & LOSSES
If an item is lost or damaged beyond repair you will be charged the full replacement value. Where possible we will try and repair an item and charge for the repair.
On delivery of the hire items we require a deposit cheque of a minimum of £100 (returned no later than 14 days after your event) against damage of items.
If the damage costs exceed the deposit cheque amount, then we will invoice you the outstanding amount. Please note the cheque is only cashed if we need to repair or replace items.
If there is a balance owed back to you after repairs etc have been deducted, we will refund you within 14 days.
Any missing items must be returned to us at the hirers expense within 5 working days
STYLING & SET UP
We currently do not offer a styling service.
Hire generally does not include set up of items, assembly/set up instructions will be provided. Some items are large and heavy, and we will set them up when we deliver, we will notify you of which items we will set up for you when you make your booking.
We can provide additional assistance in setting up hire items charged at a rate of £20 per hour. However, you will still be responsible for the safety of the hire items and we advise you to inspect the items thoroughly once set up.
We will always try and help you where we can to ease the stress of setting up etc and will discuss your needs prior to your event.
PROMOTIONAL & CHARITY HIRES
On occasion we do offer hire for free or at a discounted rate for charities and in exchange for promotion. Please contact us to discuss your event and requirements. Terms and conditions including liability for damages, losses and breakages etc are still applicable to free or discounted hires.
LIABILITY AND INSURANCE
Valentina Hire Company will not accept any responsibility for any damage or injury caused to any animal, person, object or property as a result of the use of any equipment under this hire agreement whilst hire items are in your care until items are signed back to us at the end of the hire period. We will not be liable for any costs arising from the use of our hire items, including direct, indirect or consequential loss or damage.
The hirer and participants must take responsibility and appropriate steps to ensure the safe use of hire items. Valentina Hire Company have public liability insurance but it does not cover the items whilst in your care and we expressly advise you to take out suitable insurance for your event.
We have taken every effort to represent items and provide information accurately on our website and photographs. However, we cannot be held responsible for consequences arising from the reliance of information that we provide. Due to the effects of lighting and monitor saturation levels etc colours may appear slightly different in photographs than real life of which Valentina Hire Company will not be held accountable for.
All wording and Images on our website, social media and print are copyrighted to us, Valentina Hire Company.
On occasion we may ask if we can photograph your event for marketing and promotional use. We will always gain permission in writing first.
We also ask that you get permission from us first if you would like to use any photographs which include our items for anything other than personal use, this includes but is not restricted to promotional and public use.
